Etheon Privacy Policy

Effective date: 7 October 2026 · Last updated: 10 October 2026

1. Who we are

Etheon Technology Limited (“we”, “us”, “our”) runs etheonhq.com and the Etheon property management software (the “Service”).

Privacy contact: privacy@etheonhq.com.

2. Our two roles

  • Account and website data. For the data we collect about people who visit our site, create an account, or pay us, we decide why and how we use it. We are the “controller”.
  • Property and tenant data. Landlords and managers who use Etheon enter information about their properties, tenants and payments. For that data, the landlord or manager (our customer) is the controller, and we act as their “processor”, handling it only on their instructions.

If you are a tenant and have a question about your data, contact your landlord or manager first. We will help them respond.

3. What we collect

Information you give us

  • Account details: name, email address, phone number, password (stored in encrypted form), country and time zone.
  • Billing details: plan, billing name and address, and payment status. Card and bank details are handled by our payment provider, and we do not store full card numbers.
  • Property and tenant records that you or your tenants enter: property addresses, unit details, tenant names and contact details, lease dates, rent amounts, invoices and payment records, maintenance requests, photos, notes and documents you upload.
  • Messages to us: support requests, feedback and survey answers.

Information collected automatically

  • Device and usage data: IP address, browser type, device type, pages viewed, features used and approximate location based on IP address.
  • Log data: dates and times of access, errors and security events.
  • Cookies and similar technologies (see section 11).

Information from others

  • If a landlord invites a tenant to the Service, we receive the tenant’s name and contact details from the landlord.
  • Payment and fraud-prevention providers may tell us whether a payment succeeded or failed.

We do not ask for sensitive personal data such as health information, religion or political opinions. Please do not enter it in free-text fields.

4. How we use your information

  • To provide, maintain, and secure the Service, including rent invoices, receipts, reminders, and reports.
  • To create and manage your account, process payments, and issue refunds.
  • To give support and respond to your messages.
  • To send service messages, such as receipts, security alerts, and changes to our terms.
  • To improve the Service, fix bugs, and understand which features are used.
  • To send marketing emails about Etheon, where you have agreed or where the law allows. You can opt out at any time.
  • To prevent fraud and abuse, and to protect our rights and users.
  • To meet legal, tax and accounting obligations.

5. Our legal bases

Where data protection law requires a legal basis, we rely on:

  • Contract: to provide the Service you signed up for.
  • Legitimate interests: to secure and improve the Service and to communicate with customers about it, where this is not outweighed by your rights.
  • Consent: for optional cookies and marketing where consent is required. You can withdraw it at any time.
  • Legal obligation: to keep financial records and respond to lawful requests.

6. Who we share information with

We do not sell your personal data. We share it only with:

  • Service providers who help us run Etheon, under contracts that require them to protect it: hosting (LyteHosting, Denver), payments (Flutterwave), email delivery (LyteHosting), analytics (Google), and customer support tools (Etheon).
  • AI providers, only if you use AI features (see section 13): OpenAI.
  • Your landlord or manager, if you are a tenant or an invited user, as set out in your landlord’s use of the Service.
  • Professional advisers, such as lawyers and accountants, where needed.
  • Authorities, where the law requires it or to protect rights, safety or property.
  • A buyer or successor, if we merge with or sell the business, with notice to you.

7. International transfers

Our providers and users are in different countries, so your information may be processed outside the country where you live, including in the United States. Where required, we use safeguards such as contracts with data protection terms or adequacy arrangements to protect it.

8. How long we keep it

  • Account and property data: while your account is active.
  • After you cancel: you can export your data for 30 days. After that, we delete it or remove identifying details, except as below. Backups are overwritten within 90 days.
  • Billing and tax records: kept for six years, or as the law requires.
  • Security and log data: up to 12 months.
  • Support messages: up to 24 months after the matter is closed.

A landlord decides how long tenant records stay in the Service while the account is active.

9. Security

We use reasonable technical and organisational measures to protect your information, including encryption of data in transit, access controls and regular backups. No system is perfectly secure, so we cannot guarantee absolute security. Please use a strong, unique password and tell us straight away at security@etheonhq.com if you suspect your account has been accessed without your permission.

If a breach is likely to harm you, we will notify you and the regulator as the law requires.

10. Your rights

Depending on where you live, you may have the right to:

  • Access the personal data we hold about you.
  • Correct data that is wrong or incomplete.
  • Delete your data.
  • Restrict or object to certain processing.
  • Receive a copy of your data in a portable format.
  • Withdraw consent where we rely on it.
  • Complain to a data protection authority. In Nigeria, this is the Nigeria Data Protection Commission (NDPC). If you live in the UK or EU, you can contact your local authority.

To use these rights, email privacy@etheonhq.com. We may need to confirm your identity first, and we will reply within the time the law requires. If your request is about tenant records, we may refer you to the landlord who controls them.

11. Cookies and similar technologies

We use:

  • Essential cookies to keep you signed in and protect the site. These cannot be switched off.
  • Analytics cookies or scripts to understand how the site is used.
  • Preference cookies to remember settings such as language.

You can block or delete cookies in your browser settings, though some parts of the Service may stop working.

12. Marketing emails

We send marketing emails only to people who have signed up for them, who know us, or where the law allows. Every marketing email includes an unsubscribe link. Service messages such as receipts and security notices are not marketing and will still be sent.

13. AI features

Some features may use artificial intelligence to draft messages, summarise records or answer help questions. When you use them, the text you submit and relevant account details may be sent to our AI provider (OpenAI) to produce a response. We send only what is needed for the task, and we do not allow our provider to use your data to train its general models.

AI output can be wrong. Review it before you act on it or send it to anyone. We do not use AI to make decisions about tenants, such as screening, pricing or evictions.

14. Children

The Service is for adults and is not directed at anyone under 18. We do not knowingly collect personal data from children. If you believe a child has given us information, contact us, and we will delete it.

15. Changes to this policy

We may update this policy from time to time. If the changes are important, we will tell you by email or on the site before they take effect. The “Last updated” date at the top shows the latest version.
